FIATA is committed to protecting your privacy. This privacy policy describes why the FIATA collects your personal data; what information is made available to us when you visit our website; and how FIATA uses, stores and protects that information. You will also find information on how you can exercise your data subject's rights. Any personal data disclosed to FIATA will not be used in ways other than as set forth in this privacy policy.

Personal data we collect

We obtain personal information from you when you voluntarily communicate it to us or subscribe to our newsletter. We may ask you to provide us with certain personal data that can be used to contact or identify you when using certain membership functions on our website, such as 'become a member' for membership applications, 'member area' for your membership management, and 'FDDS' for internal documents and credit card payment. Personal data may include, but is not limited to:

  • Invoicing details
  • Credit card information (only when you use a private credit card for online payment on our website)

We collect your personal data as part of our membership relationship, or when you provide it to us. We collect personal information while monitoring our technology tools and services, including our website and email communications sent to and from FIATA. We use data collection methods for the below purposes:

  • Notifications of your membership status and invoicing
  • FDDS access (password protected) 
  • Sign up to FIATA news
  • Answering your enquires
  • Google analytics

Why we collect your data

We may use information that we collect about you to provide you with our membership services, such as: 

  • Member registration 
  • Member communication (news, events, invoicing, etc.)   
  • Service management, to comply with legal or regulatory obligations, or perform functions as otherwise described to you at the time of collection
  • Management of the work and membership of FIATA institutes, advisory bodies, working groups and standing committees, should you sign up to participate in them

Where we store your data

The data we collect from you is stored in our Content Management System (CMS) database. By submitting your personal data, you agree to have it stored by us and it will only remain in our database. We will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this privacy policy.

The Association Member that approves an Individual Member application to join FIATA may be given reasonable data from their company or an individual personally for the purpose of managing the membership. Our IT or financial services providers are only allowed access to the database when it is technologically necessary to do so. Your personal data will not be transmitted or disclosed to any other third person.

Data retention

Your personal data will be retained on the FIATA CMS database for as long as we need to keep a record of your membership or interactions with FIATA. Personal data may be held for longer periods where extended retention periods are required by law or regulation and in order to establish, exercise or defend our legal rights.  

Cookies policy

‘Cookies’ are small pieces of information stored by your browser when you visit a website through your desktop or mobile device. We use cookies and other data technologies to receive and store certain types of information. We also use Google Analytics, which is a web analytics service offered by Google that tracks and reports website traffic. If you do not wish to receive any emails from us, you may opt out at any time. However, if the association or company you represent is an active FIATA member, we would need them to appoint another contact person so we can continue what is necessary for maintaining the membership, such as issuing membership invoices.

Your browser’s help function should contain instructions on how to set your computer to accept all cookies, to notify you when a cookie is issued or to not receive cookies at any time.

Your rights under certain circumstances
